Office Manager for Prague Office

We are looking for an Office Manager who will be responsible for running our Prague office in Czech Republic.

As our office/community manager, you will be responsible for the smooth running of our office and making our people happy by providing them support and creating an enjoyable and welcoming community/work place. You are a ‘people person’, supporting our employees day to day with whatever they may need to make their work life as enjoyable as possible. Here’s what you will do

  • HR and benefits area
    • Organizing company events and team buildings (regular and ad-hoc)
    • Supporting people during onboarding process (introduction to the office, help during first days)
    • Supporting people during offboarding process
    • Concierge service: helping team members with their personal needs (example: researching the best service provider for a renovation project / hairdresser / daycare / etc.)
    • Research of benefits available in the area
  • Office area
    • Taking care of the whole office (check the cleanliness, solving of any problems)
    • Ordering lunch when needed
    • Ordering electronics, administrating orders 
    • Booking business trips
    • Managing ad-hoc COVID testing for our employees
    • Close cooperation with Finance, HR and other Office managers
    • Handling mail
    • Running errands – going to the post office, Alza
    • Taking care of the company apartment – making sure everything is stocked and ready for employees (e.g. liaising with the landlord/cleaning/grocery and other services)
  • Financial area
    • Cash register management – reimbursement of expenses, prepayments
    • Invoices approving, budgets controlling, receipts collecting
    • Preparing reports for Head of the office, Finance and HR

What experience/skills you need

  • English – high level (at least B2)
  • Ability to work with MS Excel or Google sheet when preparing reports
  • Professional, polite and friendly approach
  • Experience in a similar field is an advantage
  • Flexible approach to work – you don’t mind prepare the breakfast or help colleagues with unexpected tasks
